I’m getting an error saying “jobassignmentfullname” cannot be left empty. What do I do?
If you previously had a field/column “pos title”, it will now need to be “job assignment full name” in your CSV.
I’ve changed the “Link Job Assignments” to “use user’s job assignment ID number”. Why isn’t my CSV uploading anymore?
You will need to go to Sources > User > CSV. You will need to check off “Job Assignment ID Number” from the Fields to Import list. This will make Organisation, Position, and Manager available.
Why is Manager’s Job Assignment greyed out? Why can’t I uncheck it if I have Manager checked?
With Totara’s new update, the process of assigning users to managers involves specifying the job of the manager that the user will be assigned to. This field helps specify that in the CSV.
How do I give my user a second job assignment in the CSV?
You first need to configure it under HR Import > Elements > User. You will see the setting “Link Job Assignments”.
“To the user’s first job assignment”
- This will continue with assigning changes in the CSV to the user’s first job assignment. After upgrading, all “Primary Positions” receive the Job Assignment ID Number of 1. This number does not need to be reflected in the CSV.
“Using the User’s Job Assignment ID Number”
- This will enable adding a second job assignment in your CSV. However, the first time you run HR Import using this setting, it will become permanently set and then be removed.
Next, enable the Job Assignment ID Number in Sources > User > CSV. After that, you will need to add that specific column in your CSV, with the heading “jobassignmentidnumber”.
All existing “Primary Positions” will now have the “Job Assignment ID Number” of 1. To reflect this, populate all existing records of your users with 1 under that heading.
To add a second job assignment, copy and paste the entire row of the existing user, and change Job Assignment ID Number to 2.
Fields that can be changed in multiple job assignments are:
- Job Assignment Full Name
- Job Assignment Start and End Date
- Organisation ID number
- Position ID number
- Manager ID Number
- Manager Job Assignment ID Number
I have other fields that I’d like to update as well. How do I know which ones to change?
When creating a second job assignment, please keep to only editing the fields listed above. If you do make changes to other fields, you will need to reflect it in both job assignments.
If you overlook one field and have conflicting records of a user’s information (e.g. job assignment 1 has country of x, job assignment 2 has country of y), the LMS will update the bottom-most record (i.e. the last job assignment).
