Many clients have run into a problem with not being able to view emails of their users/staff, as the default in the core is set to not show the email when bulk uploading users with email addresses. The following steps will allow you to mitigate that issue.
This document will guide you through the process of making the appropriate changes in Totara so you can view all private emails on a report when searching user profiles. The functionality is for all clients using Totara version 2.4.10 and higher.
Sections/Summary of the Steps
Before getting into the details of enabling settings to view private emails, please note the following Sections/Steps.
This article will also expand upon the following.
Section 1: What the functionality does
A new column option was added "User's email (ignoring user display settings)".
To be consistent with the "Browse list of users" page there will be two further checks:
Once the new column has been added it will only appear for users with the 'moodle/site:viewuseridentity' capability in the system context.
Users without that permission won't see the column even if it's included in the report. By default Site admins, managers and trainers have this capability.
Section 2: How to enable setting
Common default setting when trying to view User's report after a bulk upload
The following steps will help you change the default email display settings so Site administrators, Managers, and Trainers can view all email addresses by default when selecting a user report with the new column enabled.
If the following setting in Admin > Users > Pemissions > User Policies > Show user identity setting includes "Email address" is not set then the column option is not available in any reports and it won't appear as an option.
You will need to follow the corresponding breadcrumb to make the necessary changes: Home / ► Site administration/ ► Users / ► Permissions / ► User policies
See below snapshot of where to enable the Email Address setting.
Once the setting is enabled you can now select from the column options drop down menu that shows "User's email (ignoring user display settings)" by going to the following breadcrumb: Home / ► Site administration / ► Reports / ► Report builder / ► Manage reports
Best Practices and Common Mistakes
Common Mistake 1
- Make sure that the new column "User's email (ignoring user display settings)" has been added to the report. It won't automatically switch.
This is a best practice when using the following.
